IMPORTANT NOTICE: All refunds are processed after deducting applicable charges and administrative fees. Please read the complete policy carefully before initiating any refund request.

1. ADMISSION CANCELLATION POLICY

Before Session Starts (Before July 2025):

  • Within 7 days of admission: Security deposit refundable minus ₹2,000/- processing charges. Admission fee and form fee are non-refundable.
  • 8-30 days after admission: Security deposit refundable minus ₹3,000/- processing charges. All other fees are non-refundable.
  • After 30 days: Only 50% of security deposit refundable. All other fees are non-refundable.

After Session Starts (After July 2025):

  • No refund of admission fee or form fee under any circumstances.
  • Security deposit refundable only after completion of the term minus any dues.
  • Monthly composite fee must be paid for the entire term as per withdrawal policy.

2. WITHDRAWAL & MONTHLY FEE REFUND

Notice Requirements:

  • One month's written notice is mandatory for withdrawal.
  • Notice must be submitted to the Principal's office in writing.
  • Email or verbal notice will not be accepted.

Fee Liability:

  • First Term (July-December): If withdrawal is before October, fees paid for November-December can be refunded minus 10% administrative charges.
  • Second Term (January-June): If withdrawal is before March, fees paid for April-June can be refunded minus 10% administrative charges.
  • Mid-term withdrawal: Fees for the entire remaining term must be paid, no refund applicable.
  • Without proper notice: One additional month's fee will be charged, no refund for remaining months.

3. SECURITY DEPOSIT REFUND

  • Security deposit of ₹5,000/- is refundable upon leaving the school.
  • Refund will be processed only after obtaining No Dues Certificate from all departments (Library, Transport, Accounts, Sports).
  • Any outstanding fees, fines, or charges will be deducted from the security deposit.
  • Cost of damaged/lost school property will be deducted from security deposit.
  • Processing time: 30-45 working days after submission of No Dues Certificate.
  • Refund will be made through Account Payee cheque in the name of the person who paid the fee.

4. TRANSPORT FEE REFUND

  • Transport fees are charged for entire 12-month session.
  • Discontinuation requires one month's written notice to the Transport In-charge.
  • If notice is given before the 10th of a month, transport can be discontinued from the next month.
  • Pro-rata refund will be given for remaining months minus one month notice period.
  • 10% administrative charges will be deducted from refundable amount.
  • No refund if transport is discontinued without proper notice.
  • No refund for temporary suspension of transport during holidays or student absence.

5. OPTIONAL FEES REFUND (Music, Robotics, Foreign Language, Swimming)

  • Optional courses require one month's prior written notice for discontinuation.
  • Fees paid for future months can be refunded on pro-rata basis minus 15% administrative charges.
  • No refund if course is discontinued mid-month or without proper notice.
  • If student discontinues due to medical reasons, 50% refund applicable for remaining months with valid medical certificate.
  • No refund for absence or non-attendance of classes.

6. EXAMINATION FEE REFUND

  • Half-yearly and annual examination fees are non-refundable once the exam schedule is published.
  • Board examination fees (ICSE/ISC) are non-refundable as they are directly remitted to CISCE.
  • If a student leaves school before examinations, no refund of examination fees.
  • Pre-board examination fees are non-refundable for classes X and XII.

7. REFUND DUE TO SCHOOL CLOSURE OR FORCE MAJEURE

  • In case of prolonged school closure (beyond 30 days) due to government orders, natural disasters, or pandemic:
  • No refund of admission fee, form fee, or annual charges.
  • Monthly composite fee: Online classes will be conducted. If no online classes, pro-rata refund after deducting 25% for fixed costs.
  • Transport fee: Full refund for months transport was not operational.
  • Optional fees: Pro-rata refund if classes not conducted online or offline.
  • The school's decision on fee adjustments during force majeure situations will be final.

8. REFUND PROCESSING PROCEDURE

Step 1: Application

  • Submit written refund application to the Principal's office with reason and supporting documents.
  • Fill the Refund Application Form available at the school office or download from website.

Step 2: Verification

  • Accounts department will verify eligibility and calculate refundable amount.
  • No Dues Certificate must be obtained from Library, Transport, Sports, and other departments.

Step 3: Approval

  • Refund application will be reviewed by the Principal/Finance Committee.
  • Approval typically takes 15-20 working days.

Step 4: Payment

  • Approved refunds will be processed through Account Payee cheque or NEFT/RTGS.
  • Cheque will be issued in the name of the person who originally paid the fee.
  • Total processing time: 30-60 working days from application submission.

9. NON-REFUNDABLE FEES & CHARGES

The following fees are strictly non-refundable under all circumstances:

  • Prospectus and Form Fee: ₹1,200/-
  • Admission Fee: ₹12,000/- to ₹16,000/- (varies by class)
  • Re-Admission Fee: ₹800/-
  • Bounce Cheque Fee: ₹300/-
  • Late Payment Fine: ₹400/-
  • Duplicate Fee Bill: ₹100/-
  • Transfer Certificate Fee: ₹800/-
  • International Function Fee: ₹500/-
  • All examination fees (Half-yearly, Annual, Board exams)
  • Any penalty or fine imposed by the school

10. SPECIAL CIRCUMSTANCES

Death of Student:

  • Full refund of advance fees paid for future months.
  • Security deposit refunded in full after clearance of dues.
  • Death certificate must be submitted.

Transfer Due to Parent's Job Transfer:

  • Pro-rata refund of advance fees for remaining months minus one month notice.
  • Transfer letter from employer must be submitted as proof.
  • One month's notice period is mandatory.

Medical Reasons (Long-term illness):

  • 50% refund of advance fees for remaining months with valid medical certificate from registered practitioner.
  • Medical board certificate may be required for verification.
 

IMPORTANT NOTES:

  1. All refund applications must be made in writing within 30 days of the event warranting refund.
  2. Refunds will be processed only through banking channels; no cash refunds.
  3. Administrative and processing charges are deducted to cover fixed operational costs.
  4. The school reserves the right to modify the refund policy with 30 days' prior notice.
  5. In case of any dispute, the decision of the school management will be final and binding.
  6. Original fee receipts must be submitted while claiming refund.
  7. Refunds will be credited to the same bank account from which payment was received.
  8. For NEFT/RTGS refunds, bank account details and cancelled cheque must be submitted.
